The bulk of a project team leader’s responsibilities rely on effectively managing their team. To achieve project goals, leaders must establish a team of individuals with the right skill sets and encourage collaboration. Successful team management involves teamwork, goal setting, and regular performance reviews.
Team Leadership and Management:
- Oversee and manage team members.
- Provide guidance, support, and training to team members to ensure high performance.
- Conduct regular team meetings to discuss project progress, challenges, and strategies.
- Inspire and Motivate: Lead by example, fostering a positive and productive work environment. Encourage and motivate team members to achieve their best performance.
- Develop Talent: Identify training and development needs for team members. Facilitate skill development and career growth through coaching, mentoring, and providing constructive feedback.
- Manage Workflows: Oversee the execution of tasks and monitor progress to ensure deadlines are met, work process and quality standards are maintained.
- Team Building:
- Promote Collaboration: Encourage teamwork and open communication. Facilitate collaboration and information sharing among team members.
- Resolve Conflicts: Mediate and resolve conflicts or disputes within the team in a fair and efficient manner.
- Ensure fair distribution of shifts among teammates, addressing and resolving any related conflicts promptly and effectively.
- Coordinate and prepare backup teams to manage workflows during national holidays, ensuring smooth operations.
- Project Oversight:
- Lead and monitor complex projects management from initiation through delivery.
- Guide the team for developing and maintaining project plans, schedules, and budgets.
- Ensure projects are completed on time, within scope, on budget and in compliance with company’s workflows and processes.
- Audit team’s performance and record non-compliance on XTRF.
- Prepare requested reports from upper management relating to projects, applied. workflows, budgets, PM performance audits, etc.
Client Interaction:
- Corporate with other functions to address and resolve any client issues or concerns in a timely manner.
- Cooperate effectively with AM function and other stakeholders to ensure client’s needs and expectations are met.
- Process Improvement:
- Identify and implement best practices for project management, translation, and localization processes.
- Monitor the implementation of current workflows diligently and propose enhancements aimed at improving efficiency and quality, ensuring alignment with defined processes and avoiding unauthorized deviations.
- Proactively report any process gaps and resource shortages that impact the effective execution of projects to the Operations Manager.
- Facilitate continuous upskilling of team members to enhance their capabilities for managing projects efficiently and delivering results in a timely manner.
- Stay updated on industry trends and technologies to recommend and incorporate new tools or methods. Corporate with other functions to address and resolve any client issues or concerns in a timely manner.
- Cooperate effectively with AM function and other stakeholders to ensure client’s needs and expectations are met.
- Process Improvement:

Quality Assurance:
- Ensure the team performs all necessary QA checks prior to delivery, adhering to company and client standards.
- Collaborate effectively with the AM function to address and resolve reported issues promptly.
- Ensure assessments, along with the detected issues (in DTP, Typing and proofreading), are promptly submitted to the team to prevent recurrence of issues in the future.
- Monitor and confirm that the team follows essential operational measures, such as connecting bundles accurately, setting precise timelines for assigned jobs, and selecting the correct job types.
- Oversee the team's diligence in planning tasks, assigning suitable resources, and providing complete and accurate information, including proper SharePoint links, to the translation team, to help them adhere to TP quality standards.
- Support in addressing any issues related to translation accuracy, consistency, and cultural appropriateness.Resource Management:
- Monitor and ensure effective allocation of resources across projects by the PM team, including selecting the best fit resources, eliminating capacity waste that affect project’s timeline and project budget.
- Manage external vendors effectively, sharing experienced issues, and recommending required actions
- Monitor and manage project workloads to ensure balanced distribution of tasks among team members
Reporting and Documentation:
- Prepare and present regular reports on project status, team performance, audit reports and key metrics.
- Maintain thorough documentation of project plans, management processes, PM trainings and lesson learned and/or postmortem analysis reports.
- Professionally report gaps and obstacles to the Operations Manager that impact the project management team's performance and hinder their ability to meet client expectations.
Cross-Functional Collaboration:
- Collaborate with other functions, such as Account Management, Translation Manager, Localization Engineering, Vendor Management and other functions, to ensure alignment with projects’ goals.
- Facilitate communication between other function teams to support seamless project execution.
- Professtionally escalate any conflicts that may arise to OM whenever needed.
Budget and Financial Management:
- Oversee project budgets, track project’s costs, and ensure proactive cost control without compromising TP quality standards
- Ensure all payables of internal teams and external teams are accurately recorded on XTRF in a timely manner
- Ensure NO payables or receivables rates are recorded manually by PMs on XTRF.
Crisis Management:
- Identify potential risks and align suggested mitigation strategies with OM and upper management.
- Support the PM team to address and resolve any issues or crises that arise during projects’ execution.
Job Requirements:
- B.A degree or equivalent.
- Project Management Professional (PMP).
- Master Project Manager.
